Administrative Coordinator Job Details

Job Description

The Administrative Coordinator will be responsible for coordinating various administrative tasks and supporting different departments/department heads or projects. They will be responsible for event planning, managing correspondence, and liaising between staff and management to ensure projects are completed in a timely manner. The Office Coordinator will also handle tasks relating to general office management. The candidate will take direction from and sit underneath the Finance & Operations Administrator with the goal of completing any and all tasks needed to support business operations within the US office. 

General Office Duties

  • Daily mail & check deposits
  • General support for the team/office
  • Expense system administration
  • Network filing organization
  • Assist with ordering office supplies, as needed, including office food & beverage
  • Planning of company outings (Holiday Party, sales kick off event, etc.)
  • Keeping office area neat and tidy

Light Executive assistant responsibilities for the EVP & Global CIO

  • Travel scheduling
  • Scheduling of dinners/events
  • Calendar management
  • Producing of briefing sheets for upcoming meetings

Accountabilities and Performance Measures

  • Shows impeccable attention to detail
  • Punctuality and deadline awareness

Organizational Alignment

  • Reports to the Finance & Operations Administrator


  • Associates / Bachelors or equivalent work Experience
  • Minimum of 2 year working in a professional office environment
  • Experience with
    • QuickBooks Online (preferred, not required)
    • Mobile Banking
    • SAP Concur (Preferred, but not required)
  • Advanced proficiency in MS Office applications
  • Excellent written and oral communication skills
  • Ability to multi-task, organize, and prioritize work

Environment Job Requirements

  • This position will not require travel
  • All prospective employees must pass a background check prior to hire
  • Part-time position. Assured is willing to be flexible with hours to accommodate various responsibilities.
